The Administrative Assistant provides proactive support across firm operations, ensuring efficiency, organization, and a high standard of client and internal service. This role requires strong attention to detail, adaptability, and ownership of day-to-day administrative functions.
- High School Diploma or GED required: some college or additional training preferred.
- 3+ years of administrative experience (experience in a professional services or accounting firm is a plus).
- Strong communication and interpersonal skills; able to build positive relationships with clients and team members.
- High attention to detail and strong organizational skills.
- Ability to manage multiple priorities and adapt quickly in a fast-paced environment.
- Self-directed with a strong sense of ownership, accountability, and follow-through.
- Proactively supports evolving team needs and demonstrates a commitment to continuous learning and growth.
- Able to work both independently and under direction.
- Professional, reliable, and able to execute tasks with accuracy and efficiency.
- Comfortable navigating and resolving conflict or challenging situations.
- Proficiency in Microsoft Office and general office equipment.
- Typing speed of 30+ words per minute.
- Ability to sit and work at a computer for extended periods.
- Answer multi-line phones.
- Prepare and qc drafts and reports.
- Client correspondence.
- Process bank deposits and post payment to the firm's time and billing software.
- Track and maintain monthly AR.
- Process mail.
- Scan work papers and/or other documents into appropriate software file locations.
