Our Riverside, CA office focuses on Trust & Estate Accounting Services, and we are looking for an Administrative Assistant who is adaptable, detail-oriented, and confident in managing tasks independently.
This role will be part of a small Riverside office, where most days you’ll be the only person working onsite. You’ll support multiple individuals across the firm and play an important role in keeping office operations organized and running smoothly.
Because of this setup, we’re looking for someone who is comfortable working independently while staying connected with the larger team. The ideal candidate is proactive, highly organized, and confident with technology—especially Microsoft Office Suite. Key Responsibilities
- Answer and direct calls on a multi-line phone system.
- Handle incoming and outgoing mail.
- Scan, file, and maintain electronic and physical documents.
- Set up new clients in firm systems.
- Manage prospective client intake and scheduling.
- Format, proofread, and quality-check reports and correspondence.
- Process bank deposits and post payments to the firm’s billing system.
- Manage accounts receivable and follow up on outstanding balances.
- Order and maintain office and break room supplies.
- Provide administrative support to partners and staff, including Trust & Estate accounting professionals.
Requirements
- 3+ years of administrative experience (experience in a professional services or accounting firm is a plus).
- Entry-level bookkeeping, accounts payable, or collections experience preferred.
- Strong computer skills, especially Microsoft Office Suite.
- Excellent written and verbal communication skills.
- High attention to detail and strong organizational skills.
- Ability to work independently and manage multiple priorities.
- Comfortable working with remote team members and following clear instructions.
- Ability to type at least 30 words per minute.
- Physical ability to sit and type for extended periods.
